Information from Discord and CMS records
We do not buy or obtain personal information from data brokers, lead providers, or public databases. When you connect or sign in with Discord, we may receive limited Discord account information such as your Discord user ID, username, display name, avatar, and email address if provided by Discord. BCRP staff may also create or maintain community records in the CMS as described in this Privacy Policy.

Community Safety and Rule Enforcement. We may use personal information to enforce BCRP rules, policies, and standards and to investigate reports of misconduct or violations.
Disciplinary and Administrative Records. We may maintain records of warnings, disciplinary actions, administrative decisions, and related notes concerning community members.

We may use cookies and similar tracking technologies (like web beacons and pixels) to gather information when you interact with our Services. 6. How Do We Handle Your Discord Login
In Short: If you choose to register or log in using Discord, we may receive limited Discord account information needed to authenticate you and connect your account.
Our Services offer you the ability to register, sign in, or connect your CMS account using Discord. Where you choose to do this, we may receive limited Discord profile information, such as your Discord user ID, username, display name, avatar, and email address if provided by Discord.
We use the Discord information we receive only for the purposes described in this Privacy Policy, including account authentication, account linking, role and permission checks, bot-related features, and community administration. We do not control Discord's own handling of your information, so you should review Discord's privacy policy for its practices.
7. Is Your Information Transferred Internationally
In Short: We may transfer, store, and process your information in countries other than your own.
BCRP uses third-party service providers, including Supabase, Cloudflare, and Discord, to operate the CMS and related services. Depending on how those providers operate their infrastructure, your information may be transferred to, stored in, or processed in the United States, Canada, or other countries where those providers maintain facilities or subprocessors.
If you are a resident in the European Economic Area (EEA), United Kingdom (UK), or Switzerland, then these countries may not necessarily have data protection laws or other similar laws as comprehensive as those in your country. However, we will take all necessary measures to protect your personal information in accordance with this Privacy Policy and applicable law.
European Commission's Standard Contractual Clauses:
We have implemented measures to protect your personal information, including by using the European Commission's Standard Contractual Clauses for transfers of personal information between our group companies and between us and our third-party providers. These clauses require all recipients to protect all personal information that they process originating from the EEA or UK in accordance with European data protection laws and regulations. Our Standard Contractual Clauses can be provided upon request. We have implemented similar appropriate safeguards with our third-party service providers and partners and further details can be provided upon request.
8. How Long Do We Keep Your Information
In Short: We keep your information for as long as necessary to fulfill the purposes outlined in this Privacy Policy unless otherwise required by law.
We keep personal information for as long as necessary for the purposes set out in this Privacy Policy, unless a longer retention period is required or permitted by law. Account and routine CMS records are generally retained while the account or membership is active and afterward only as reasonably necessary. Limited community, disciplinary, security, audit, or enforcement records may be retained for longer where reasonably necessary to maintain community safety, enforce restrictions, prevent abuse, resolve disputes, comply with legal obligations, or protect BCRP and its members.
When we have no ongoing legitimate business need to process your personal information, we will either delete or anonymize such information, or, if this is not possible (for example, because your personal information has been stored in backup archives), then we will securely store your personal information and isolate it from any further processing until deletion is possible.
9. How Do We Keep Your Information Safe

We have implemented appropriate and reasonable technical and organizational security measures designed to protect the security of any personal information we process. 11. Controls for Do-Not-Track Features
Most web browsers and some mobile operating systems and mobile applications include a Do-Not-Track ( "DNT" ) feature or setting you can activate to signal your privacy preference not to have data about your online browsing activities monitored and collected. At this stage, no uniform technology standard for recognizing and implementing DNT signals has been finalized. As such, we do not currently respond to DNT browser signals or any other mechanism that automatically communicates your choice not to be tracked online. If a standard for online tracking is adopted that we must follow in the future, we will inform you about that practice in a revised version of this Privacy Policy.
California law requires us to let you know how we respond to web browser DNT signals. Because there currently is not an industry or legal standard for recognizing or honoring DNT signals, we do not respond to them at this time.

How to Exercise Your Rights

Under certain US state data protection laws, you can designate an authorized agent to make a request on your behalf. We may deny a request from an authorized agent that does not submit proof that they have been validly authorized to act on your behalf in accordance with applicable laws.
Request Verification
Upon receiving your request, we will need to verify your identity to determine you are the same person about whom we have the information in our system. We will only use personal information provided in your request to verify your identity or authority to make the request. However, if we cannot verify your identity from the information already maintained by us, we may request that you provide additional information for the purposes of verifying your identity and for security or fraud-prevention purposes.
If you submit the request through an authorized agent, we may need to collect additional information to verify your identity before processing your request and the agent will need to provide a written and signed permission from you to submit such request on your behalf.
Appeals
Under certain US state data protection laws, if we decline to take action regarding your request, you may appeal our decision by emailing us at hr@bcroleplay.ca. We will inform you in writing of any action taken or not taken in response to the appeal, including a written explanation of the reasons for the decisions. If your appeal is denied, you may submit a complaint to your state attorney general.
California "Shine The Light" Law
California Civil Code Section 1798.83, also known as the "Shine The Light" law, permits California residents to request information about certain disclosures of personal information for third-party promotional purposes. BCRP does not disclose personal information to third parties for those purposes.

14. Community Records and Roleplay Information
British Columbia Roleplay ("BCRP") operates a roleplay community and Community Management System ("CMS"). As part of community operations, we may create, receive, and maintain records relating to a member's participation in BCRP, including department assignments, ranks, roles, permissions, callsigns, training records, certifications, awards, patrol and event participation, leave requests, transfers, applications, administrative notes, disciplinary actions, and other community-related records. Certain information maintained within the CMS relates solely to a member's fictional character, roleplay activities, or participation within BCRP and is not intended to represent the member's real-world identity, employment, qualifications, professional status, or conduct. Access to community records is restricted according to assigned roles, permissions, department membership, leadership responsibilities, and administrative requirements. Certain profile and community information may be visible to other BCRP members, while restricted records, including certain application, disciplinary, administrative, and security information, are available only to authorized personnel. When a member requests deletion of an account or personal information, BCRP may retain limited community, disciplinary, security, audit, or enforcement records where reasonably necessary to maintain community safety, enforce existing restrictions, prevent abuse or circumvention of enforcement actions, resolve disputes, comply with legal obligations, or protect the rights and security of BCRP and its members. Any information retained for these purposes will be limited to what is reasonably necessary for the applicable purpose.
15. Do We Make Updates To This Policy
In Short: Yes, we will update this notice as necessary to stay compliant with relevant laws.
